Archive Emails from CRM\Archive Email


Purpose: Archive emails from Exchange to SugarCRM. Usage scenario might be the following: receive an email from a person, move or copy it to "CRM\Archive Email" folder; a lead in SugarCRM is created automatically. Or receive email from existing contact, put it to "CRM\Archive Email" folder and it is automatically archived to this contact in SugarCRM (find it in History tab).

Description: Archiving of emails in "CRM\Archive Email" Exchange folder to Emails module of SugarCRM.

Synchronization Rules and Options:

  • Exchange to SugarCRM
    • Update SugarCRM email if it exists.
    • Create SugarCRM email if it does not exist.
    • Archive to existing contact, account and lead that have corresponding email address.
    • Create SugarCRM lead if no matching contact, account or lead found and "Auto Create Lead" option is "y". Match is performed against sender email for incoming emails and against recipient email for outgoing emails.
    • Assign the following categories to Exchange email after synchronization: Archived, CRM.
  • Scenario Options
    • E->S, Archive Attachments, if this option is "y" (default) then email attachments are archived to SugarCRM as well. Switch off if you do not want to archive email attachments.
    • E->S, Attachment Exclude Filter, semicolon or comma separated list of file name wildcards. Attachments that pass this filter are not archived. Example: signature.jpg - do not archive attachments with such a name. Empty value allows all attachments to be archived.
    • E->S, Attachment Include Filter, semicolon or comma separated list of file name wildcards. Attachments that do not pass this filter are not archived. *.* - allow all attachments. Empty value allows all attachments to be archived.
    • E->S, Attachment Size Limit, attachments with size (in bytes) over this limit are not copied to SugarCRM. -1 - no limit.
    • E->S, Auto Create Lead, if no matching Contact, Account or Lead found then create a Lead matching email sender (or email recipient if email is outgoing).
    • E->S, Find Account, find Account by email and archive to it (save to History tab).
    • E->S, Find Contact, find Contact by email and archive to it (save to History tab).
    • E->S, Find Lead, find Lead by email and archive to it (save to History tab).
    • E->S, Incoming, if set to "y" then treat this email as incoming (i.e. use 'From' field to find related items). Other options are "auto" and "n".
    • E->S, Lead Name, how to treat contact name (fl = First Last, lf = Last First) when creating a new lead from E-Mail ('Auto Create Lead' should be set to 'y').
    • E->S, Set 'y' to mark as 'archived' (othewise it is marked as 'read' or 'sent'). If E-mail is marked as 'archived' then it is not visible in the SugarCRM Emails manager and is only accessible from the History tab of the item that this mail is archived to (this is a recommended behavior). If 'n' then Email is visible in the Email Composer, My Emails->My Archived Emails folder as if it is archived from within SugarCRM.
